In my recent work with a client facing a challenging tenancy dispute, I saw firsthand the benefits of having a Virtual Assistant to tackle complex, time-consuming situations. Here’s how we reclaimed her deposit and reduced her stress:
Client Background
My client, who has ADHD, had recently moved out of a rented house when she was informed by her letting agent that they would be withholding her £1500 deposit. The reason cited was damage to the property — a claim that was not only upsetting but also inaccurate, as the damage wasn’t caused by her or her family.
The Challenge
Two months after vacating the property, my client was informed that her deposit was being withheld due to alleged damage. However, when she moved into the house, she had thoroughly reviewed the original inventory provided by the letting agent, noting several inaccuracies and issues that hadn’t been recorded — such as a loose plug socket and other damages. She made corrections, included photographic evidence, and handed the revised inventory back to the agent upon moving in.
When the deposit dispute arose, the letting agent was unable to produce the revised inventory and even attempted to deny ever receiving it. This added further frustration and complexity to the situation. Coupled with ongoing poor service throughout her tenancy, where maintenance issues were ignored or not addressed in a timely manner, my client felt overwhelmed. The thought of gathering all the necessary information to dispute the claim became too much for her to handle.
How I Helped
Understanding her frustration and the immense pressure this placed on her, I stepped in to help. I advised her not to give up on her claim and reassured her that I would handle the situation. My client provided me with all her documentation, including the original inventory, her revised version, and all the emails and correspondence exchanged with the letting agent.
I took the time to thoroughly review everything, asking her clarifying questions to ensure I had a full understanding of the situation. I then organised all the information into a detailed report, carefully presenting the facts in a clear, structured way that would be easy for the mediator to understand.
The Outcome
Once the report, along with all the supporting evidence, was submitted to the Tenancy Deposit Dispute Service, it was a matter of waiting. After a few weeks, we received fantastic news: the mediator ruled in my client’s favour. Aside from £200 for minor wear and tear, she recovered almost the entire £1500 deposit.
My client was extremely relieved and grateful for my assistance. She expressed how, without my support in organising the paperwork and presenting the evidence in a manageable way, she wouldn’t have proceeded with the claim. By taking on the burden of managing the dispute, I helped ease her stress and allowed her to focus on her day-to-day business tasks and other aspects of her life.
Conclusion
This case highlights the importance of accurate documentation and having the right support during tenancy disputes. As a Virtual Assistant, my role often goes beyond typical administrative tasks, with the primary goal being to alleviate stress for my clients. By stepping in to organise and present my client’s case, we were able to achieve a positive outcome, saving her a significant amount of money and removing the overwhelming pressure that had been building. My support allowed her to focus on what mattered most, knowing that I had everything under control.
Having a Virtual Assistant means you’re never tackling complicated situations alone. You gain a supportive partner who will manage the details, advocate on your behalf, and let you stay focused on what truly matters.
